1、發送並不緊急的“緊急”郵件

Sending ‘urgent’ emails that aren’t urgent

發“緊急”郵件時,建議別做“狼來了小孩”,否則當你真的有緊急郵件的時候,就沒人關注了。

Speaking of urgent emails, never be the child in the story “The wolf is coming”. Elsewise, no one will care about you even the really urgent things happen.

2、滿屏大寫字母

Putting words in ALL CAPS

ARE YOU YELLING??—這是大寫給人的視覺效果。除非你想給客戶一劑“強心針”,否則就把CAPS LOCK關掉吧。

ARE YOU YELLING? This is what you bring when you enter words in ALL CAPS. Just turn CAPS LOCK down unless you want to give your customers a shot in the arm.

3、太不拘小節

Being too casual

郵件能側面反映你跟客戶的關係,表達太隨意只會顯得專業素養不高。我建議在使用感嘆號、表情、字號字體和短語時多加斟酌。

Emails can reflect the relationships between you and your customers from the side. If you are being too casual, they will think you are not professional. I suggest that you be careful before using exclamation marks, facial expressions, fonts and phrases.

此外,並非每個人都能讀懂縮寫。如果客戶和你是不同年齡層,或者有語言障礙,那麼請寫出全稱。

In addition not everybody can understand the abbreviations. If your customers are different ages from you or there are language barriers, do forget about the abbreviations.

4、表達太生硬

Being too stiff

我經常收到一些“一行式郵件”,這看起來好像是系統自動回覆。有時候適當表達自己的個人特色和情感會對談判比較有利,否則表現的太像機器人了。

For me, I usually receive some emails of just one line. It seems to me an automatic respond from the system. Sometimes, it’s more beneficial to properly convey some emotions or you are being too stiffy.

5、在凌晨三點發送郵件

Sending emails at 3 a.m

據調查,即使是在“7天24小時”工作狂的世界裡,這也不會被大多數人接受。當然,如果夜裡突然有了靈感,建議你寫郵件存到草稿箱,然後在工作時間發出去。

According to the investigation, even in the eyes of those workaholics, it’s unacceptable. Sure, if you are inspired at the night, I recommend that you save the email in your draft box and send it at work time.

6、使用模糊主題行

Using a vague subject line

“It’s me” “Hey” or “FYI”開頭會讓你的客戶感覺很困惑,他不知道你這封郵件想說明什麼,自然不會願意花寶貴的時間去打開它。在商務往來中,郵件最好簡明扼要,這樣才能促使客戶看到後更快地給出反饋。

Words like “It’s me”, “Hey” or “FYI” at the beginning of the email will confuse your customers because they have no ideas what you are going to convey. Naturally, they won’t spend their valuable time. During the commercial intercourse, we’d better be concise and terse so that customers will make feedback after seeing our emails.

7、沒有主題行

Not including a subject line at all

沒有主題的郵件會讓人很火大,客戶只會當成垃圾郵件處理。

Emails without a subject line will irritate people a lot. Customers will just treat them as junk mails.

8、未開門見山

Starting a sentence in the subject line that you finish in the email’s body

如果你在郵件結束時才拋出你的觀點或者疑問也很令人討厭,因為客戶還得重頭再看。郵件的目標是簡潔並且尊重客戶的時間。

It’s also pretty annoying if you put forward your views or doubts at the end of the emails because customers need to review it. We need to make our emails concise and respect our customers’ time.

9、不知所謂的郵件地址

A ridiculous email address

不論是給客戶,同事還是任何人發郵件,如果要體現專業度,就得棄用非正式的電子郵件賬戶。畢竟含有敏感詞彙的賬戶一開始就會給人不好的印象。

We need to reflect that we are professional whoever we send emails to. So we must abandon informal emails accounts. After all, customers won’t feel good if they face accounts with sensitive words.

10、帶有情緒的語氣

Being snippy

當客戶三週之後才回復你郵件時,你的下一封郵件中往往會帶有一點憤怒的情緒。但是這對於談判有害無利,所以永遠不要發語氣刻薄的郵件給你的客戶。

When your customers respond your emails 3 weeks later, your wordings might be accompanied with some anger. However, it is not beneficial to the negotiation. Never send emails with your mean words to customers.

11、太敷衍

Being curt

如果你跟客戶很熟,那麼有時可以省掉一些細節。但如果這個客戶跟你不熟或者訂單量很大,那麼禮貌和專業一定要。”Please”“Thank you”以及結尾處像是”Best”這些詞不可少。

If you are familiar with your customers, you may save some details. But if the customer is unfamiliar with you or he places a big order, then we need to be polite and professional. Words like “Please”, “Thank you” and “Best” are indispensable.

12、數不盡的錯別字

Numerous typos

在發出之前必須檢查郵件是否有錯別字。

We must check if there are typos in the email before sending it.

13、非專業字體

Unprofessional fonts

手寫體要分場合,對於商務往來郵件,你得保證你的字體顏色大小規範。最重要的原則是:讓客戶便於閱讀。

We should be careful to use handwriting. For business emails, we must make sure that the font, color and size are formal. The most important principle is that our customers can read without difficulties.

通常,最好選擇10-12號字號,易讀的字體,像是Arial, Calibri或者Times New Roman。顏色當然是黑色最為保險。

Of course, we’d better choose font 10 to 12 for size. For fonts, we should choose Arial, Calibri or Times New Roman. For color, black is our best choice.

14、太冗長

Going too long

大多數人花幾秒鐘來閱讀一封電子郵件,很多人只是大致瀏覽,因此寫郵件時最好將郵件分成短小段落,列出條理就更好了。對於重要信息可以用粗體或者斜體標註,但是要適量使用。

Most of the people spend a few seconds reading an email. Most of them are just browsing emails. Therefore, we need to separate the emails from several paragraphs. For important information, we can use bold or italic to emphasize them. But be careful to use them.
